This Privacy Policy explains how CallGenie collects, uses, protects, and shares information when you use our website, mobile app, AI-assisted booking features, calling features, SMS messaging, account tools, and related services.

Summary: CallGenie uses account, booking, location, communication, call, SMS, and service data to help users search for businesses, request appointments, manage booking updates, receive service notifications, improve app reliability, and protect the platform from fraud, spam, and misuse.

CallGenie does not sell personal information. We may share limited information only when needed to operate the service, such as contacting the business you choose, delivering calls or messages, processing payments, maintaining security, improving reliability, or complying with law.
SMS privacy commitment: CallGenie does not sell, rent, or share mobile phone numbers, SMS opt-in data, or SMS consent information with third parties or affiliates for their own marketing or promotional purposes.

1. Who we are

CallGenie is an AI-assisted booking platform that helps users find businesses, request appointments, manage booking status, and receive updates through supported communication methods. Depending on the feature used, CallGenie may help place calls, send transactional messages, organize booking information, and show business information to support the user’s request.

This Privacy Policy applies to CallGenie’s website, mobile app, communications, and related services.

CallGenie is currently in early access and may be limited by supported locations, categories, provider availability, business response, and rollout status. Supported features, service areas, and availability may change as the platform develops.

2. Information we collect

We may collect information you provide directly to us, including:

  • account information, such as name, email address, and verified phone number;
  • preferred call name used when the AI contacts a business on your behalf;
  • login, authentication, and account verification information;
  • booking request details, including requested service, business, date, and time;
  • booking-specific service address for services performed at your location;
  • vehicle details when relevant to an auto-service request;
  • notes and other information you choose to provide for a booking;
  • optional profile preferences, such as preferred language, preferred days, preferred time window, distance preference, service preferences, and reminder preferences;
  • messages, feedback, support requests, reports, and other information you send to us;
  • credit purchases, credit balances, and credit activity;
  • payment or subscription status information when you purchase a paid feature or plan.

We may also collect information automatically when you use CallGenie, including:

  • device type, operating system, browser type, app version, IP address, approximate location, and general log data;
  • usage activity, such as searches, views, taps, booking actions, call attempts, SMS actions, status updates, and feature usage;
  • diagnostic data, crash logs, performance data, error logs, and security events;
  • location data if you allow location access through your device or browser settings.

3. Booking, call, and AI communication data

Because CallGenie helps users manage real-world booking requests, we may collect, process, and store information related to booking activity and communications.

  • booking request details, appointment summaries, appointment status, confirmation information, rescheduling details, cancellation details, and booking history;
  • business information related to the booking request, such as business name, phone number, location, hours, availability details, and service information;
  • call metadata, such as call start time, call end time, call duration, call status, connection status, voicemail status, callback status, and failure reasons;
  • call transcripts, summaries, outcomes, status updates, notes, and booking results created during or after an AI-assisted call;
  • message delivery status, message replies, confirmation codes, reminder status, and communication logs;
  • support history and troubleshooting information related to booking, calling, messaging, or account issues.

If a call is recorded, transcribed, summarized, or processed by AI features, CallGenie may process call audio, transcripts, metadata, summaries, and outcomes to provide the service, confirm booking status, troubleshoot issues, improve reliability, detect abuse, and comply with legal obligations.

CallGenie is designed for routine local booking requests. Users should avoid submitting highly sensitive information unless it is necessary for the requested service. CallGenie should not be used for emergencies, urgent medical needs, legal emergencies, or other high-risk matters.

4. SMS and text messaging

CallGenie may use your phone number to send transactional text messages related to your account and appointment activity. These messages are used to operate the service and keep you updated about actions you request.

SMS messages may include:

  • account verification or one-time passcode messages;
  • booking request updates;
  • appointment confirmations;
  • appointment reminders;
  • business reply notifications;
  • rescheduling or cancellation updates;
  • status alerts related to calls, booking attempts, voicemail, callbacks, or SMS confirmation flows;
  • customer support or service-related messages.

Message frequency may vary based on your use of CallGenie and your booking activity. Message and data rates may apply. You can reply STOP to opt out of SMS messages. You can reply HELP for help.

CallGenie does not sell, rent, or share mobile phone numbers, SMS opt-in data, or SMS consent information with third parties or affiliates for their own marketing or promotional purposes. This restriction also applies to text messaging originator opt-in data and consent. We may share limited information with trusted service providers only as needed to deliver messages, operate the service, provide customer support, maintain security, or comply with law. Those service providers are not allowed to use your SMS consent information for their own marketing or promotional purposes.

5. How we use information

We may use information to:

  • create, verify, secure, and manage your account;
  • help you search for businesses, services, and appointment options;
  • place AI-assisted calls or supported communications on your behalf when you request it;
  • request, confirm, update, reschedule, cancel, or track bookings when supported;
  • send transactional SMS messages, reminders, confirmations, alerts, and service notices;
  • show relevant business information, service details, status updates, and booking history;
  • personalize parts of the app experience based on your saved preferences and prior activity;
  • improve app reliability, call handling, booking flows, AI quality, and customer support;
  • detect, prevent, and respond to fraud, spam, abuse, unauthorized access, and security issues;
  • debug errors, monitor performance, maintain infrastructure, and improve service availability;
  • enforce our terms, protect rights and safety, and comply with legal obligations.

6. AI features and third-party AI processing

CallGenie uses AI-assisted features to understand user requests, organize booking details, communicate with businesses, summarize call outcomes, and improve the booking experience. To provide these features, CallGenie sends certain information to third-party AI service providers.

Vapi — CallGenie uses Vapi, a third-party AI voice platform, to place outbound calls to businesses on your behalf. Information sent to Vapi includes your preferred call name, the service you requested, the appointment date and time, the business name and phone number, relevant booking notes, and optionally your phone number (only when the business explicitly asks). Vehicle details, pet details, or insurance information may also be included when relevant to the service category. Vapi processes call audio in real time, generates a text transcript, and may generate a recording URL for the call. The transcript is returned to CallGenie and stored. The recording URL (a pointer to audio hosted by Vapi) is also stored.

OpenAI — CallGenie uses OpenAI's GPT models for several purposes: (1) post-call transcript analysis to classify the outcome of a call; (2) understanding the intent of your chat messages to extract booking details; (3) classifying your search queries to route them correctly. Information sent to OpenAI may include call transcripts, call summaries, and your chat messages together with relevant business context. OpenAI does not receive your full account profile or payment information.

Before your first AI-assisted call or request, CallGenie displays an in-app disclosure and asks for your explicit agreement to this AI processing. You may decline, in which case no AI call will be placed. You may also withdraw your agreement at any time by contacting support — however, withdrawing consent means you will no longer be able to use CallGenie's AI booking features.

We may use aggregated, de-identified, or anonymized information to improve product quality, safety, and reliability. We do not use SMS opt-in data or SMS consent information for third-party marketing.

AI-assisted features may misunderstand, misclassify, or summarize information incorrectly. Users should review important booking details, including business name, date, time, location, service type, and special instructions before relying on them.

7. Location information

If you allow location access, CallGenie may use your location to show nearby businesses, improve search results, support booking flows, estimate distance, and verify service availability by area.

You can control location permissions through your device or browser settings. Some features may not work correctly if location access is turned off.

8. Business information and search results

CallGenie may display business information such as names, phone numbers, addresses, hours, categories, ratings, service details, availability notes, and other public or business-provided information.

Business information may come from public sources, user requests, business communications, service providers, or information businesses provide directly. We try to keep information useful and accurate, but business details may change. Users should review important business and appointment details before relying on them, especially hours, availability, prices, services, addresses, cancellation rules, and confirmation status.

9. How we share information

We do not sell your personal information. We share information only as reasonably needed to provide, operate, protect, or improve CallGenie.

  • with businesses you choose to contact, so they can understand and respond to your appointment request;
  • with trusted service providers that help us operate hosting, databases, calling, messaging, email, analytics, security, payments, authentication, customer support, AI processing, and technical infrastructure;
  • with payment processors or app store platforms when needed to process purchases, subscriptions, refunds, renewals, or billing status;
  • with legal authorities, regulators, or other parties when required by law or when necessary to protect rights, safety, security, users, or the public;
  • as part of a merger, acquisition, financing, business transfer, or sale of all or part of our business, subject to applicable law.

Mobile phone numbers, SMS opt-in data, and SMS consent information are not shared with third parties or affiliates for their own marketing or promotional purposes.

10. Service providers

CallGenie uses trusted third-party service providers to operate the service. The following are the primary providers currently used, along with the types of data they may receive:

  • Vapi — AI voice calling platform. Receives your preferred name, appointment details, business phone number, and booking notes to place calls on your behalf. May generate call transcripts and recording URLs.
  • OpenAI — AI language model provider. Receives call transcripts, call summaries, and chat messages for outcome classification and booking intent extraction.
  • Telnyx / Textbelt — SMS delivery providers. Receive the recipient phone number and SMS message text (which may include your name, business name, and appointment details) to deliver transactional messages.
  • Brevo — Transactional email provider. Receives your email address and name to send verification codes, welcome emails, booking confirmations, and password reset emails.
  • Google Places — Business search and mapping. Receives your geographic coordinates (lat/lng) and a text search query to return nearby business results. No account identifiers are sent.
  • RevenueCat — In-app purchase management. Receives your CallGenie user ID (a random identifier, not your name or email) to manage credit purchases and verify purchase status.
  • Apple / Google — App store and authentication. When you use Sign in with Apple or Sign in with Google, those providers share your name and email with CallGenie per their standard OAuth flows.

These providers process information only as needed to provide services to CallGenie and are not permitted to use your information for their own marketing purposes. We are not responsible for third-party providers' independent privacy practices — their own policies apply to data they independently collect or process.

11. Payment and subscription information

If you purchase a plan, subscription, or paid feature, payment information may be processed by payment providers or app store platforms. CallGenie may receive limited billing-related information such as payment status, renewal status, plan type, billing country, transaction identifiers, subscription identifiers, or refund status.

CallGenie does not store full payment card numbers unless clearly stated and handled through a secure payment process.

12. Data retention and account deletion

We keep information for as long as reasonably needed to provide the service, maintain records, resolve disputes, enforce agreements, prevent abuse, support security, and comply with legal obligations.

Account deletion: You can delete your CallGenie account at any time from inside the app at Profile > Privacy & Security > Delete Account. When you delete your account:

  • your login sessions are immediately invalidated;
  • your profile information, saved locations, notification preferences, and preferred settings are deleted;
  • your booking history, call transcripts, notes, and associated records are deleted;
  • your credit transaction history and credit balance are deleted;
  • your Google identity and Apple identity associations are removed;
  • your email address, phone number, full name, and password are cleared from your account record.

A minimal anonymized record (containing no personal information) is retained to maintain system integrity and prevent re-registration abuse. Deletion is processed immediately and cannot be undone.

Note that call recordings hosted by Vapi on their own platform are subject to Vapi's own data retention practices.

13. Your choices and rights

Depending on where you live, you may have the right to:

  • access certain personal information we hold about you;
  • request correction of inaccurate information;
  • request deletion of your account or certain personal data — use the in-app Delete Account option or contact support;
  • opt out of marketing communications, if any are offered;
  • opt out of SMS messages by replying STOP to any message;
  • adjust device location permissions through your device settings;
  • withdraw AI processing consent — contact support at [email protected]; note that withdrawing consent disables AI booking features;
  • request more information about how your information is used or shared.

We may need to verify your identity before processing certain privacy requests.

14. Security

We use reasonable administrative, technical, and organizational safeguards to help protect information. These safeguards may include encryption in transit, access controls, secure authentication practices, monitoring, logging, abuse detection, and operational security reviews.

No method of storage, transmission, or electronic processing is completely secure. We cannot guarantee absolute security, but we work to protect information and improve security over time.

15. Account safety and misuse prevention

CallGenie may monitor usage, booking activity, calls, messages, device activity, and account behavior to detect and prevent spam, fraud, abuse, fake accounts, unauthorized access, policy violations, and misuse of the platform.

We may limit, suspend, or terminate access if we believe an account or activity creates risk for users, businesses, CallGenie, service providers, or the public.

16. Age restrictions

CallGenie is intended for users who are at least 18 years old. We do not knowingly collect personal information from children or allow children to use CallGenie to facilitate real-world appointments.

If you believe a minor has provided personal information to us or created an account, please contact us so we can review the request and take appropriate action.

17. Third-party links, businesses, and services

CallGenie may include links, listings, maps, business profiles, websites, app store services, payment services, or other third-party services. We are not responsible for the privacy practices, content, policies, or actions of third-party businesses or services.

When you interact with a third-party business or service, their own policies may apply.

18. State and regional privacy rights

Privacy rights may vary depending on where you live. Some users may have rights under state, federal, or international privacy laws, including rights to access, correct, delete, or receive information about certain data practices.

19. Changes to this Privacy Policy

We may update this Privacy Policy from time to time. If we make material changes, we may notify you through the app, by email, through our website, or by another reasonable method.

Your continued use of CallGenie after the updated Privacy Policy becomes effective means you accept the revised version.
